A block of rooms has been reserved for the SBE/CISE Workshop at Airlie Center in Warrenton, Virginia the nights of Monday, Tuesday and Wednesday, March 14, 15 & 16, 2005.

Please include your date and time of arrival and departure, and any special needs or requests you may have. We are working to arrange group transportation from the airport to the hotel, so please include your flight arrival and departure information, including carrier.

Travel should be for arrival at Dulles Airport, which is more convenient to the hotel than either Reagan or BWI. The location is 50 miles southwest of Washington, D.C and approximately 45 minutes driving time from Dulles.

It's been suggested that you plan to wear comfortable, warm clothes, as some of the guest rooms are located away from the meeting area and the weather could be chilly.

Airlie Dress Code

Dress for the workshop is informal, casual, and warm.
Dress for the Keynotes by Dan Atkins and Arden Bement will be business casual.

Transportation to and from the Airport

Transportation for the SBE/CISE meeting is scheduled between Dulles and Airlie Conference Center as follows:

Monday, March 14, 2005 Departing Dulles for Airlie

  • 4:15 p.m.
  • 7:15 p.m.
  • 9:15 p.m.

Advance reservations are necessary and should be made to Nancy Jensen with the following information:

  • Your Name
  • Flight Number and your city of departure
  • Flight Arrival time at Dulles
  • Your cell phone number

Space on the vans will fill quickly, so please provide your information as soon as possible.

Return transportation from Airlie to Dulles is also being scheduled for Thursday, March 17. Departure times allow 2-1/2 to 3 hours prior to your return flight. Please indicate which of the following times you require.

  • 5:30 a.m.
  • 9:30 a.m.
  • 12:30 p.m.

For participants who have already made reservations to take the shuttle from Dulles to the Airlie Conference Center: The shuttle pick up will be at the Travelers' Aid next to Baggage Claim #4 in Dulles Airport. The van company is Timely Express. The driver will have a sign that says “SBE/CISE”.

The van driver will also have your cell phone number and your flight arrival information.

If your flight is extremely delayed, and the van has already left, please take a taxi to Airlie Conference Center in Warrenton, Virginia. Washington Flyer is the local taxi service. The cost will be approximately $65 US, and is fully reimbursable. Reimbursement forms will be available at the workshop.

Arrival Notes

When you arrive at Airlie on Monday evening, plan to stop at the Whistling Swan Pub (located on the Airlie property), after you’ve checked in. Most of the workshop organizers, as well as many NSF program officers will be arriving Monday afternoon, and we thought this would be a good chance to greet each other on an informal basis before we begin our session on Tuesday morning. Open nightly from 5:30 to 11 p.m., the Whistling Swan offers a full selection of beer, wine, spirits and light fare.

The SBE/CISE Workshop Dinner Hour is scheduled from 7:00 to 8:00 p.m. in the Main Dining Room. There is no other food service on the premises. If your arrival will be later than 8:00 p.m. you may order a box lunch to be ready when you arrive. These must be ordered ahead of time, so please send your request to Nancy Jensen.

Travel & Reimbursement Arrangements

If you book your travel yourself, we will reimburse you for this expense. Forms will be provided at the workshop for you to complete and return, along with all original receipts. All air travel must be on US carriers, and the receipts must show that you were the actual payer. In other words, if your e-ticket does not show that you paid by credit card, it will be necessary to submit a statement from your bank or credit card company showing this amount to your charge. (This is a requirement of UCSD who will be issuing the reimbursement checks.)

If you wish, your ticket can be prepaid through UCSD’s travel agency (Balboa Travel) This requires setting up an event number for you with the following information:

  • Current home address
  • Social Security Number (unless you've been previously reimbursed by UCSD)
  • Citizenship, and if not U.S., type of visa and issuing country

This information cannot be e-mailed for privacy purposes but should be sent instead to Nancy Jensen via:

After this information is entered into the UCSD system, an Event Number will be issued and sent to you along with instructions on contacting Balboa Travel.
